<p><strong>THE CLIENT</strong></p><p>Our team is working with a fast-growing investment firm headquartered in Midtown in New York City. Known for its entrepreneurial spirit and mission-driven approach, the firm has doubled in size over the past year and continues to expand globally. The NYC office is collaborative, high-performing, and deeply committed to building something exceptional. Their administrative team is highly valued and plays a central role in supporting investor relations and business development efforts.</p><p><br></p><p><strong>THE ROLE</strong></p><p>This firm is seeking a dynamic Admin Assistant & Office Coordinator to support both front-of-house operations and the Investor Relations/Business Development teams. This hybrid role offers exposure to fundraising, strategic operations, and high-level stakeholder engagement. The successful candidate will work closely with the Executive Assistant & Office Manager and liaise across global offices to ensure seamless coordination.</p><p>Key duties include:</p><ul><li>Coordinating travel, calendars, and logistics for IR/BD professionals</li><li>Preparing briefing documents and investor meeting materials</li><li>Supporting quarterly reporting and roadshow planning</li><li>Maintaining CRM systems (Backstop) and marketing collateral</li><li>Covering reception and managing meeting room bookings</li><li>Handling office management tasks (supplies, vendors, facilities)</li><li>Processing expenses via Concur and managing travel bookings</li><li>Contributing to office culture and supporting ad hoc admin tasks</li></ul><p><br></p><p><strong>THE CANDIDATE</strong></p><p>The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, entrepreneurial environment. They are comfortable supporting senior stakeholders while also contributing to the broader team.
