RESPONSIBILITIES

  • This position is for Office of Alumni Relations.
  • Administration of Systems
    • Work closely with the University’s IT office to administer systems for the purpose of engaging alumni.
    • Administer OAR’s SharePoint.
    • Guide end-users in the appropriate use of various systems.
    • Provide level 1 tech support for end-users.
    • Respond to system- and account-related queries by alumni.
  • Database management
    • Manage and maintain alumni database, ensuring data accuracy and integrity.
    • Securely extract and clean alumni lists for outreach and import into complementary systems.
    • Ensure matriculation and graduation updates from Registrar’s Office are captured accurately and in a timely manner.
    • Perform analytics and prepare regular reports to senior management, MOE and other relevant organisations.
  • Other Roles
    • Manage and upkeep OAR’s IT equipment.
    • Support alumni engagement events, occasionally on weekday evenings and weekends.
    • Engage alumni when deployed for events.
  • Other duties as assigned.

QUALIFICATIONS

  • Recognised degree in Information Systems, Computing or IT.
  • At least 5 years of relevant experience in systems administration.
  • Keen understanding of web and mobile applications as well as Apple, Google and Windows environments.
  • Proficient in the use of Microsoft Office applications.
  • Experience with Dynamics 365, Office 365, SharePoint, Power BI, Qlik, VPN, Qualtrics, Cvent, Raisers’ Edge and Aluminati would be an advantage.
  • Good interpersonal, communication and organisational skills.
  • Able to explain technical concepts to end-users in simple terms.
  • Comfortable engaging end-users to solicit feedback and suggestions.
  • Adaptable, detail-oriented, organised, and able to work independently or as a team to meet tight deadlines.
  • Will be required to work occasionally after office hours and weekends to support university events.
