Receptionist (Chinese Speaking)

Job Summary:

** Mandarin speaking, able to read and write.
We are seeking a mature and proactive Front Desk Receptionist to lead and manage front desk services and the front desk team for a Chinese MNC. The ideal candidate will take ownership in aligning service delivery with Facilities Management (FM) goals, ensuring full compliance with company policies, and maintaining a high standard of professionalism in all front desk operations.

Key Responsibilities:

  • Operate the switchboard efficiently and manage all incoming communications.

  • Update and maintain the monthly telephone directory and staff list, incorporating new joiners weekly.

  • Provide professional guest reception services, ensuring timely welcome arrangements and coordinating tea service to maintain excellent hospitality standards.

  • Manage meeting room bookings, conduct daily inspections, ensure a clean and professional environment, and oversee setup of meeting room facilities as per user requirements.

  • Serve as the main coordinator for employee business travel arrangements, including flight and hotel bookings, and travel insurance documentation. Adhere strictly to updated travel policies and approval, operational, and financial review procedures.

  • Support international business travelers visiting the Singapore office by managing access permissions and verifying travel documentation in compliance with company policies.

  • Provide additional front desk support services as directed by the Hub Lead.

  • Coordinate and facilitate soft service requests and resource allocations as needed.

  • Manage company pool car bookings.

  • Provide backup support for mailroom services when required.

  • Update and maintain nameplate information upon request.

  • Oversee stationery requests and inventory management.

  • Perform other related duties as assigned.
